1. Who we are

Policly is operated as a sole trader by Callum Lewis Hendry ("Policly", "we", "us"). By creating an account or using the service you ("user", "you") agree to these terms. If you do not agree, do not use Policly.

2. The service

Policly provides AI-assisted document classification and policy-suite generation against EU, UK and US compliance frameworks. Outputs are decision-support, not legal advice or an official classification decision. You are responsible for verifying outputs and applying professional judgement.

3. Your account

  • You must provide accurate information and keep it up to date.
  • You are responsible for keeping your credentials confidential and for all activity under your account.
  • If signing up on behalf of an organisation, you confirm you have authority to do so.

4. Acceptable use

You agree not to:

  • Use the service unlawfully, fraudulently, or to send spam.
  • Infringe intellectual property or privacy rights of others.
  • Probe, scan, scrape, reverse-engineer, or otherwise compromise the security or integrity of the service.
  • Upload material classified SECRET or above under any government scheme. Use your authority's accredited tools instead.
  • Resell, redistribute, or expose Policly's outputs as your own automated classification product.

5. Intellectual property

All software, branding, citation databases, and policy-suite templates remain the property of Policly. You receive a limited, non-exclusive, non-transferable right to use the service within your subscription or purchase. You retain ownership of documents you upload and the structured findings produced from them. You grant us a limited licence to process that content solely to provide the service.

6. Payments — Paddle as Merchant of Record

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns. Payment, billing, tax, refund and cancellation mechanics are governed by Paddle's Buyer Terms. See our Refund Policy for our additional commitments.

7. AI outputs and accuracy

  • Outputs are generated by large language models and may be inaccurate, incomplete, or out of date.
  • You are responsible for your prompts, the documents you submit, and how you act on the outputs.
  • You must verify outputs before relying on them for any regulated, legal, financial, or safety-critical decision.
  • We may filter, refuse, or moderate prompts and outputs to enforce these terms.

8. Service level & availability

We aim to keep Policly available and accurate, but we do not guarantee uninterrupted or error-free operation. To the fullest extent permitted by law we disclaim all implied warranties, including merchantability and fitness for a particular purpose.

9. Suspension & termination

We may suspend or terminate your access to Policly for:

  • Material breach of these terms.
  • Non-payment.
  • Security, fraud, or abuse risk.
  • Repeated or serious policy violations.

On termination, we will keep your saved reports available for a reasonable export window where lawful, then delete them.

10. Liability

To the fullest extent permitted by law, our aggregate liability for any claim arising out of or in connection with the service is capped at the fees you have paid to Paddle for Policly in the 12 months preceding the claim. We exclude liability for indirect, consequential, or special damages, including loss of profits, loss of data, or loss of goodwill. We do not exclude or limit liability for fraud, death, or personal injury caused by negligence, or any other liability that cannot be excluded by law.

11. Indemnity

You will indemnify us against claims arising from your content, your unlawful use of the service, or your breach of these terms.

12. Changes

We may update these terms from time to time. Material changes will be notified by email or in-app notice at least 14 days before they take effect. Continued use after the effective date constitutes acceptance.

13. Governing law

These terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction over any dispute, subject to any non-waivable consumer rights in your country of residence.
